Information stored on your device
Tola stores your saved tasks, dates, recurrence settings, reminders, completed items, and app preferences locally on your device. Creating, editing, and completing tasks does not require an internet connection. The optional voice service described below processes the words you choose to record online.
If you use a home-screen widget, the app shares the minimum task information needed to display that widget through storage provided by your operating system on the same device.
Optional iCloud Sync
On supported Apple devices, you can choose to sync tasks through your private iCloud database. Tola uses your device's iCloud account for this feature and keeps a local copy so tasks remain available when you are offline. Apple processes synced task data under its iCloud terms and privacy policy. Tola does not operate an account or store your tasks on its own servers.
Optional voice input
When you start voice input, Tola requests microphone access and streams your recording through a Tola service hosted on Cloudflare to OpenAI for transcription. The resulting transcript is processed to suggest a task title, date, time, recurrence, and reminder. You can review and edit the suggestion before saving it to your list. Existing tasks and task history are not uploaded by this feature.
The request includes language preferences, time zone, the current reference time, and calendar-format settings so spoken dates can be interpreted. A random installation identifier is sent to Tola's service to limit abuse. Network providers may also process standard connection information such as your IP address.
Tola's live voice service does not persist audio or transcripts or include their content in application logs. It records technical events, error categories, and timings for reliability. Cloudflare and OpenAI process information under their respective service and privacy terms.
Voice input requires an internet connection. You can use typed tasks without granting microphone access, and can revoke microphone permission in device settings. Avoid speaking information you do not want processed online.
Accounts and advertising
Tola does not require an account, name, or email address. It does not use advertising identifiers or cross-app tracking profiles. If you choose to include personal information in a voice recording, it is processed as part of that recording as described above.
Privacy-preserving analytics
Tola uses PostHog and TelemetryDeck to understand basic app usage. PostHog may receive an anonymized identifier created for that installation, app-launch or session events, and technical information such as the app version, build number, operating-system version, and device type. PostHog may also process an IP address to estimate a general location. TelemetryDeck receives an anonymized installation identifier, app usage events, and basic app and device information. TelemetryDeck does not store IP addresses.
This analytics data is used only to improve Tola. It is not linked to your identity, used for advertising or cross-app tracking, or sold. Tola never includes task titles, notes, dates, reminder details, your name, or your email address in analytics events.
Reminders and device permissions
If you enable notifications, Tola asks your operating system for permission to schedule reminders. Reminder processing happens locally on your device. You can change notification access at any time in your device settings.
Tola reads your device's current time zone to schedule reminders. If you use voice input, the time zone is also included in the voice request to interpret dates correctly.
Backups and deletion
Your operating system may include local app data in a device backup depending on the backup settings you control with Apple or Google. If you enable iCloud Sync, synced task records are also held in your private iCloud database.
You can delete individual tasks and completed items in the app. Uninstalling Tola removes its locally stored app data from the device, subject to device backups and any synced records in your private iCloud database.
Website
The Tola website uses Umami to understand basic page views and which App Store or Google Play buttons are clicked. Umami does not use advertising cookies or build a profile of you across other sites. It may receive the page you visit, your browser and device type, and a general location derived from your IP address. This data is used only to improve the website.
Like most websites, its hosting provider may also process standard request information, such as an IP address and browser details, to deliver and protect the site. That processing is governed by the provider's infrastructure and security practices.
Third-party services
The app uses PostHog and TelemetryDeck for product analytics, Apple for optional iCloud Sync, and Cloudflare and OpenAI for optional voice processing. The website uses Umami for privacy-preserving page and download-button analytics. Tola does not include third-party advertising SDKs. When you download Tola or use operating-system features, Apple, Google, or your device manufacturer may process information under their own privacy policies.
Children's privacy
Tola does not request age or account information. The local-storage, optional voice-processing, and analytics practices described above apply to all users. Contact us if you have a question about a child's information.
Changes to this policy
If Tola's data practices change, this policy will be updated before the change takes effect. The date at the top of this page shows the latest revision.
